Which documents do we need from an association or society?

Updated:

Send two documents:

  • a current registry extract, such as an up-to-date print-out or PDF from your official register
  • your statutes or constitution, which set out the founding rules of the association

Together, these documents should provide the information we need to verify your association or society.

What information do your documents need to show?

Together, the registry extract and statutes or constitution should show:

  • the association's legal name, registration number, and registered address
  • that the association is still active
  • the full name of every current board member or office-holder
  • what powers each role has, for example the right to represent the association, sign alone or jointly, appoint someone, convene meetings, or exercise veto rights

Associations don't have owners, so you don't need to provide ownership information.

Instead, we need to understand who ultimately controls the association. Your statutes or constitution will usually show this by identifying a role that holds this control or by showing that control is exercised collectively.

If available, it also helps if the registry extract shows:

  • the registration date
  • country of registration
  • tax ID

You can still continue with your application if these additional details aren't shown.

What if some information is missing?

If the registry extract and statutes or constitution don't show everything listed above, add the document that provides the missing information. You don't need to send all of these.

  • Official list of board members filed with the registry: a board list that has been submitted to and accepted by an official body, rather than an internal list
  • Resolution appointing the current board: the decision electing your current board, if the official records don't show it
  • Resolution granting special powers: the decision giving someone veto rights or other powers beyond a standard board role
  • Certificate of registration: the certificate issued when the association was registered
  • Court registration decision or decree: the court order registering the association, in countries where a court handles registration
  • Annual return or annual filing: your most recent yearly filing, if it lists the current board
  • Official confirmation letter from the registry: a letter or electronic confirmation for countries where the registry doesn't issue formal extracts
  • Ultimate beneficial owner (UBO) declaration or beneficial ownership register extract: identifies the people who ultimately control the association. This can support your other documents, but it can't replace them.

Are there extra document requirements in some countries?

France

If your association's founding declaration was published in the Journal Officiel, also send the relevant gazette publication.

If your association meets the applicable filing thresholds or receives public funding, also send your latest annual filing.

What should you check before uploading your documents?

  • Send the most recent version. We can't accept historical or superseded documents.
  • Include every page, even if a page only contains a stamp or signature.
  • Make sure the association's full legal name and registration number are clearly readable.
  • You can upload a clear scan, photo, or downloaded PDF. Make sure all text is legible.
  • Documents in your local language are accepted. You don't need to translate them.

What happens after you upload your documents?

Your documents are sent for review after you upload them.

If we need another document or more information, we'll let you know.
