Send a founding act, law, decree, or another document confirming that your entity exists, plus a document showing who currently heads it.
Public entities aren't privately owned, so you don't need to provide information about owners.
What information do your documents need to show?
Your document confirming the entity exists should show:
- your entity's legal name and official seat
- what your entity does, its mandate, or public function
- the title or reference of the act, law, or decree
- the authority that created your entity
Your document confirming who heads the entity should show:
- the full name of the current head, director, or authorised office-holder
If available, it also helps if your documents show:
- the establishment date
- jurisdiction
- public finance identifier
- supervising authority.
Which documents can you provide?
To confirm that your entity exists, provide any one of these:
- Founding act, law or decree: the parliamentary act, decree, regulation, or resolution that created your entity
- Registry extract: a print-out from the official register, in countries where public entities are registered
- Government gazette publication: the official journal notice announcing your entity
- Official confirmation letter from the supervising authority: a letter on official letterhead from the ministry or authority that oversees your entity
To confirm who currently heads the entity, provide any one of these:
- Resolution appointing the current board or governing body
- Registry extract, if it names the governing body
- Government gazette publication, if it announces the appointment
- Official list of board members
- Annual report or activity report, if it sets out your current governing body
Does my country change which documents I need?
No. The same document requirements apply wherever your entity was created.
What should you check before uploading your documents?
- Send the most recent version of the appointment document. We can't accept historical or superseded documents.
- Include every page, even if a page only contains a stamp or signature.
- Make sure your entity's full legal name is clearly readable.
- You can upload a clear scan, photo, or downloaded PDF. Make sure all text is legible.
- Documents in your local language are accepted. You don't need to translate them.
What happens after you upload your documents?
Your documents are sent for review after you upload them.
If we need another document or more information, we'll let you know.
